Sound familiar?

  • Price limits are fixed, so every hour of admin comes straight out of your margin.
  • Claims get rejected over small errors, and nobody has time to fix them.
  • Your coordinators spend more time on rosters and paperwork than with participants.
  • New referrals wait days because intake paperwork piles up.

Software we screen for

  • PRODA
  • my NDIS provider portal
  • Lumary
  • ShiftCare
  • Brevity
  • SupportAbility
  • Xero

NDIS price limits cap what you can charge for each hour of support, so every hour of admin your team does comes out of the margin. Service delivery creates a steady flow of rosters, documents, invoice queries and rejected claims, and it often lands on the coordinators participants rely on. A dedicated administrator can keep that work organised while your team keeps the participant relationships and the service decisions.

The NDIS back office, from referral to paid claim

Intake. An NDIS admin assistant organises referrals, requests approved information, sets participants up in your CRM and prepares files from your onboarding checklist.

Finance. An NDIS bookkeeper reconciles plan-managed and self-managed payments, prepares invoices to the NDIA and plan managers, and chases rejected claims, inside your own accounting software.

Agreements. They populate your approved service agreement templates and track outstanding details for your team’s review.

Rostering. They maintain roster updates in ShiftCare, Lumary or Brevity, record worker availability and communicate approved schedule changes.

Invoicing and claims. They prepare invoice data against the support catalogue and price limits, check supporting records, and follow up plan managers and self-managed participants about unpaid invoices. Where you allow it, they prepare bulk claim files and investigate rejections for your approval.

Records. An admin assistant chases missing documents, tracks worker screening and training expiry dates, and keeps filing and version conventions tidy for audit.

Enquiries. A customer service hire answers routine calls, emails and website enquiries, and passes anything sensitive to the right person.

What NDIS outsourcing should never include

Every decision that affects a participant stays onshore with your local team. That includes support and clinical decisions, incident reportability, complaints, restrictive practices, changes to service agreements and anything involving a participant’s safety. Delegating administration doesn’t delegate accountability under the NDIS Practice Standards. The offshore hire prepares, records and follows up, and escalates concerns straight away. Tarino doesn’t give legal or compliance advice.

How we screen NDIS admin staff

NDIS admin is detail work under rules that change, so the practical assessment tests accuracy against your own conventions. For this role it could include a sample roster update and an invoice-record check against a price-limit extract. Before that stage, CV screening and a video screen take a pool of 1,000+ candidates down to about 200. After it, around 50 sit a structured interview and 20 reach finalist review. You meet the best 3–4, usually within about 2 weeks, and interview them yourself. Read how the screening stages work. Over 95% of Tarino placements are still in the role six months on.

Participant records, portals and your logins

Your hire works in your CRM, rostering system and provider portals under named accounts you create. Give the least access the role needs, require multi-factor authentication and remove access the day someone leaves. Participant information stays in your systems, and you remain responsible for it under the Privacy Act, including the rules on sending personal information overseas. Check your obligations against the NDIS Commission’s guidance. Use the offshore staff security checklist to plan least-privilege access and offboarding.

Admin cost when your prices are capped

When the price limit is fixed, a monthly agency fee is margin you never get back. Staff Domain publishes A$1,099 per person per month, about A$13,188 a year, plus A$1,200 per hire (checked October 2026). With Tarino you pay one recruitment fee per hire and nothing monthly. Your hire keeps their full salary because you pay them directly. Test your own figures in the offshore staff cost calculator, and plan roster cover around Philippines public holidays in 2026.

The best first brief is the admin task that delays revenue: claim rejections, unpaid invoices or intake that holds up a participant’s first support.

More on how we compare costs

NDIS providers: common questions

Is this participant support or back-office administration?

Back-office administration. Direct support, clinical work, support coordination decisions, incident reportability and other specialist responsibilities stay with your local team and need their own capability and oversight. The offshore hire prepares records, invoices, rosters and correspondence, and escalates anything about a participant's safety or wellbeing to the person you name.

Can offshore staff for NDIS providers use PRODA?

Don't share your own PRODA login. Set up access in line with the portal's rules and your organisation's delegations, and give the hire only the access their tasks need. You can also keep claim submission onshore and have the hire prepare and check the files. Tarino doesn't give compliance advice, so check the current portal requirements.

Can offshore staff help with claiming?

It depends on your systems, permitted access and review process. Map the exact workflow, approvals and records first, then decide whether claim preparation and rejection follow-up belong in the brief. One workable split: the hire prepares bulk claim files and investigates rejections, and your team approves and submits them.

Can they answer calls from participants and families?

Yes, if that's in the brief. A customer service hire can take routine calls and messages, log them in your CRM and pass anything about safety, complaints or support needs straight to your team. The practical assessment can include a sample call or written enquiry so you can judge tone before you interview.
